Primary care is where a practice's IT gets the hardest workout. Full schedules, several providers, lab results and referrals flowing in all day, and exam rooms where a slow computer costs minutes on every visit. We support primary care practices in Central Kentucky today, and this page covers what's specific to IT in a family medicine or internal medicine clinic. For how we protect patient data in every kind of practice, see our healthcare IT page.
Systems we work around
Primary care practices we support run EHRs such as eClinicalWorks and AdvancedMD. We don't replace or resell your EHR. We look after everything around it: workstations in the exam rooms and at the front desk, accounts and sign-ins, the network, scanners, email and shared files. When a problem sits between the EHR and your equipment, we work it out with the vendor so your staff doesn't have to.
What's different about primary care
- Volume. More patients a day means more check-ins, more scanned documents and more people touching the same systems. Small problems add up fast.
- Shared exam room computers. Providers and medical assistants move from room to room. Workstations need to be quick to sign in to and lock when someone walks away.
- Everything comes in from outside. Lab results, imaging reports, hospital discharge summaries and specialist letters arrive by interface, fax, email and paper, and all of it has to reach the chart.
- E-prescribing. Electronic prescribing of controlled substances requires two-factor authentication under DEA rules, so the tokens, phones and accounts behind it have to work every time.
- Referrals both ways. Shared referral mailboxes and fax lines are busy and full of patient information.
What we set up and support
- Document scanners where the paper arrives. Front desk, nurse stations and medical records, set up so scanned documents land where your staff attaches them to the chart.
- Shared network drives. Folders for each team, with role-based permissions, so forms, policies and working files are easy to find and patient documents stay with the people who need them.
- File access that just works. Fixing the mappings, permissions and sync problems behind "I can't open that file," in the office or for staff working remotely.
- Mailbox configuration. Individual and shared mailboxes for referrals, records requests and billing, encrypted email for sending patient information, and mail on the phones that need it.
- Networking. A network that handles a full clinic, with guest Wi-Fi kept separate from staff devices. Opening a new location or moving? Our network installation project builds it from scratch.
- Ongoing support. Managed IT covering help desk, updates, monitoring, multi-factor sign-in and tested backups, so the practice runs the same on a Monday morning as it does on a quiet Friday.
From a practice manager we support
"Jason and the entire Mash IT team have gone above and beyond with every issue we've faced - no matter how small. I can't thank them enough for their patience and support, even when I've been reaching out daily."
Miranda Wright, Practice Manager
Compliance-aware support
We give compliance-aware guidance on the technical safeguards HIPAA expects and help you document them through our compliance consulting. We don't certify practices or guarantee audit results. Compliance stays your practice's responsibility; our part is making the IT side solid.
