VoIP Phone System Installation in Lexington, KY

Cloud phone systems for business: number porting, phones and softphones, call routing, and a network set up so calls stay clear.

Mash IT has always been one partner for IT and telecommunication, and business phones are where the two meet. A cloud phone system only sounds as good as the network underneath it, so we plan the phones and the network together, move your numbers over, and set up call routing that matches how your business answers the phone.

What the project includes

  • Platform selection. We help you choose a cloud phone platform that fits your size and the way you work. We partner with providers such as RingCentral and Nextiva.
  • Number porting. Your existing main line and direct numbers moved to the new system, scheduled so callers never hit a dead line.
  • Call routing. Auto attendants, ring groups, hunt groups, after-hours rules and voicemail set up to match how your front desk and teams actually handle calls.
  • Phones and softphones. Desk phones, conference phones and apps on computers and mobile phones, so people can take calls in the office or on the road.
  • Network readiness. Switch ports, power over Ethernet and quality-of-service settings checked so voice traffic gets priority and calls stay clear.
  • Emergency calling. Emergency (E911) address information registered for each location so 911 calls carry the right address.

Who it's for

Businesses replacing an old on-premises phone system, offices moving to a new space, and organizations that want staff to answer the business line from anywhere. It's often paired with an office relocation or a new network installation.

How the work runs

  1. Discovery. We document your current numbers, lines, call flow and any features you depend on, such as paging or call recording.
  2. Design. You approve the new call flow, the platform and the phones before anything is ordered.
  3. Network check. We confirm the network can carry voice well and fix what needs fixing.
  4. Setup and porting. Users, phones and call routing are configured, and the number port is scheduled with the carrier.
  5. Go-live. Calls switch to the new system on the port date, and we're on hand while people get comfortable.
  6. Training. Short guidance on transfers, voicemail and the mobile app.

Number porting dates are set by the carriers, which is usually what drives the timeline. From you, we need a recent bill from your current phone provider and a contact who knows how calls should be handled.

What you get at the end

  • A cloud phone system with your existing numbers.
  • Call routing that matches how your business answers the phone.
  • Phones and apps set up for every user.
  • Documentation of your numbers, call flow and settings.
